When a practice loses its marketing after a resignation, the cause is almost always that the work lived in a person rather than in a system. Logins registered to a personal email, drafts saved in individual documents, vendor relationships held by one staff member, and the reasoning behind decisions that nobody wrote down all leave the building at the same time.
This is one of the most common and least discussed operational risks in a small practice. It is also almost entirely preventable. ASTUDIO Productions structures around it for practices across the Dallas Fort Worth area.
Practices tend to think about handover in terms of tasks. The larger loss is context.
Tasks can be reassigned by reading a job description. Context cannot. Why the October campaign was structured that way. Which photographer knows the office. What the last agency did badly and why the practice left. Which service the physician does not want promoted. Which post caused a problem last year.
None of that appears in a two week handover document, and the replacement rediscovers it by making the same mistakes again.
Before anything else, a practice should know which accounts are registered to whom. This audit takes an afternoon and prevents the worst version of the problem.
Work through the list:
Every one of these should sit under a practice controlled email address, with individuals granted access rather than ownership. Recovering an account registered to a former employee who left on bad terms ranges from tedious to impossible, and the timing is never convenient.
A password manager solves access. It does not solve knowledge.
A short living document does more good than most practices expect. What the practice does and does not want to promote. Which claims require physician review. The brand voice in a paragraph. What was tried before and how it went. Standing preferences about photography, tone, and language.
Two pages, updated occasionally, saves a new person or a new vendor several months of guessing.
An outsourced arrangement does not eliminate turnover. Agencies have staff changes too. What it changes is where the knowledge sits.
When the strategy, the calendar, the brand files, the account access, and the history are held at the organization level rather than by one individual, a departure on either side becomes a scheduling matter. Someone else on the team already has the context, because the context was never in one person's head.
That is the practical argument for the model described in the ASTUDIO Productions process, and it is the reason many client relationships run for years without the practice ever experiencing a restart.
Whether the work is internal or outsourced, a departure should trigger the same short checklist. Transfer account ownership before the last day. Move files from individual storage to shared storage. Record a short conversation covering current projects and pending decisions. Update the reasoning document. Remove access immediately after the final day rather than eventually.
Practices that run this checklist consistently experience turnover as an interruption. Practices that do not experience it as a reset.
The practice, through an email address the practice controls, with individuals added as managers. Personal account ownership is convenient at setup and expensive later.
The same principle applies to the domain, which is the single account most likely to be forgotten and the most damaging to lose.
Less than most people fear. Two pages covering voice, restrictions, current priorities, and history covers the majority of what a successor needs. A fifty page manual will not be maintained and therefore will not be trusted.
Sometimes, through the platform's own recovery process, and it is generally slow. The variance in outcome is exactly why the audit is worth doing before it becomes urgent.
Nobody budgets for continuity. It becomes visible only during the week a practice is trying to reach a domain registrar while a website is down and the only person who knew the login no longer works there.
