First 30 Days With a Healthcare Marketing Agency | ASTUDIO Productions

What the First Thirty Days With a Marketing Agency Should Look Like

The first thirty days with a healthcare marketing agency should be spent on access, benchmarks, brand voice, ideal patient definition, and priorities. Content and campaigns come after those are settled. An agency that begins publishing in week one has skipped the part that determines whether any of it works.

Physicians rarely get told this before signing, which makes the early weeks feel slow when they are actually the most productive. ASTUDIO Productions runs discovery before creative for exactly this reason.

Week One Is About Access, Not Output

Before anything can be measured or improved, the agency needs to see what exists. That means administrative access to the website, analytics, advertising accounts, the business profile, social platforms, and whatever email or messaging system is in use.

This step frequently uncovers problems on its own. An analytics property nobody has looked at in two years. An ad account still running a campaign for a service the practice discontinued. A business profile with the wrong hours. A domain registered to a former employee.

None of those are unusual, and all of them are cheaper to fix in week one than to discover in month six.

Benchmarks Before Promises

An agency cannot tell a practice whether something improved without knowing where it started. Establishing that baseline is unglamorous and essential.

The useful benchmarks are not vanity figures. Current inquiry volume by channel. How many inquiries become appointments. What the practice currently spends and on what. Which service lines are actually profitable versus merely busy. How the website performs for the terms patients use.

A practice should be suspicious of any agency that offers specific outcome projections before this stage. There is no way to make an honest one.

The Uncomfortable Questions

Month one should include questions a physician may not have been asked by a marketing vendor before:

  • Which service is the most profitable, as opposed to the most visible
  • Which service the schedule genuinely cannot absorb more of right now
  • What the front desk actually says when a caller asks about price
  • Which patients the practice would rather attract fewer of
  • What happened with the last agency and why it ended

These are not intrusive for the sake of it. Marketing a service the practice cannot deliver more of creates a capacity problem rather than a growth one, and an agency that never asks will find that out the expensive way.

Voice and the Ideal Patient

Two practices offering identical services can require completely different content, because the patients they want are different and the way each physician talks is different.

Settling this early prevents months of revision cycles. It means agreeing on how formal the writing should be, which terms the practice uses and avoids, what claims are acceptable, who reviews clinical accuracy, and what the practice never wants to sound like.

Photography usually belongs in this stage too. Real images of the actual office and team outperform stock consistently, and commercial photography scheduled early gives every later deliverable something real to work with.

What Should Be Visible by Day Thirty

Discovery first does not mean nothing happens. By the end of month one a practice should have a written plan naming priorities and sequence, corrected foundational items such as business profile accuracy and broken links, an agreed content and campaign calendar, and clarity on who reviews and approves what.

What it should not have is a month of published content built on assumptions that were never checked.

Is it normal for onboarding to take this long?

A thorough first month is normal and usually predicts a better second quarter. What is not normal is a month with no communication, no plan, and no visible progress. Slow because the work is careful looks different from slow because nothing is happening.

What if the practice does not have some of the access?

Very common, particularly with older websites and accounts set up by a former staff member or a previous vendor. Recovering access is a routine early task, and it is worth doing properly rather than rebuilding around the problem.

How much physician time does month one require?

More than later months, and it is time worth protecting. A few focused conversations early prevent a long series of approval cycles later, because the agency stops guessing at answers only the physician has.

Judge the Onboarding, Not the First Post

The clearest early signal of whether an agency relationship will work is what happens in the first thirty days. Content is easy to produce. Discovery is not, which is why it is the part most often skipped.

ASTUDIO Productions works with physicians and practice owners across North Texas, beginning with access, benchmarks, voice, and priorities before anything is published. Review the full ASTUDIO Productions process, book a 30 minute consult, or call 940-365-4599.
